Dersapp User Guide
How teacher and student accounts are used, from start to finish. Pick which side you want to read from the tabs below.
1. Create your account
A workspace of your own opens the moment you sign up.
- 1Sign up
Use the Sign Up link on the home page to create an account with your name, surname, email and a password. A workspace is created for you at signup; your students, lessons, homework and payment records live inside it and no other teacher can see them.
- 2Referral code (if you have one)
If a sales representative introduced you to Dersapp, you can enter the code they gave you in the referral code field on the signup form. It is optional and can be left blank. The code only records which representative your signup came through; it does not affect your account or your price.
- 3Sign in
After signing up you land directly on the Dashboard. The menu on the left gives you access to everything in your workspace.
2. Define your availability
Students can only book the hours you open.
- 1Add weekly availability
Use the Weekly Availability section on the Calendar screen to define day and time ranges. These repeat every week: once you say "Tuesday 18:00–21:00", those hours are open every Tuesday.
Without any availability your students cannot create booking requests — they will see no time slots at all on the booking screen.
- 2Add an exception
For a holiday, illness or a one-off change, add an exception. An exception overrides the weekly rule for that day; you do not need to delete the weekly rule.
3. Add your students
Students join by invitation; they cannot sign up on their own.
- 1Create an invitation
The Invite Student button on the Students screen generates an invitation link for you. Send that link to the student or their parent.
- 2The student accepts
The student opens the link, sets their own name and password, and accepts the privacy notice. After that they can sign in as a student and are connected to your workspace.
- 3View the student profile
In the student list you can see each student's lesson history, attendance, homework and, if they have one, the number of lessons left in their package — all on one screen.
4. Schedule and run lessons
You can create a single lesson or a weekly recurring series.
- 1Create a lesson
Click an empty hour on the calendar and pick a student, duration and time to open a lesson. You do not have to wait for the student to request it; as the teacher you can book directly.
- 2Recurring series
On the same screen you can create a series by choosing how many weeks it repeats. A lesson is opened on the same day and time each week.
- 3Respond to booking requests
When a student requests a booking it appears under Pending requests on the Dashboard. You approve or reject it; the student is notified.
- 4Add a lesson link
If you teach online, add the meeting link (Zoom, Meet, etc.) to the booking details. The student sees that link in their own calendar.
- 5Mark the outcome
When the lesson is over, mark the booking as Completed. If the student did not show up, mark it as No-show — the distinction appears separately in attendance history and in the lesson package counter.
- 6Cancellation
You can cancel a single lesson, or every lesson in a series from that date onwards.
Cancelling a series cancels "this and all following lessons"; past lessons are untouched. The action cannot be undone — you would have to recreate the series.
5. Topic plans and lesson notes
Record what was covered in each lesson and how it went.
- 1Enter a topic plan
From the booking details, list the topics to be covered in that lesson. The student can see this plan on their own screen and comes prepared.
- 2Use topic templates
Define topics you repeat often once, in the Topic Templates section of the Lessons screen, then select them instead of retyping for every lesson. You can archive or delete a template you no longer use.
- 3Write a lesson note
After the lesson, write your note about it: where they struggled, what needs revisiting. Notes accumulate in the student's lesson history and become a record you can review at the end of a term.
6. Assign and review homework
One piece of homework can go to several students at once.
- 1Create homework
From the Homework screen, enter a title, description and due date. You can assign the same homework to several students at once by selecting them.
- 2Attach a file
You can attach a file to the homework (worksheet, PDF, image). The student downloads it from their own screen.
- 3Track submissions
In the homework list you can see who has submitted and who has not, with a separate filter for overdue ones.
- 4Review
When a student submits, you write a grade (for example 8/10) and feedback on their work. The student is notified.
- 5Withdraw
You can withdraw homework you assigned by mistake from a student, and reassign it if needed. Withdrawing does not delete the homework; it only removes it from that student's list.
7. Track payments
Dersapp does not collect payments; it is a ledger where you record your own.
- 1Create a lesson package
Define a package for a student by entering a package name, lesson count and total price. Lessons are deducted as they are taught, and you see the remaining count on the student profile.
- 2Add a payment record
Open a record by entering an amount, payment method and due date. You can link it to a lesson package if you want.
- 3Mark as paid
When you receive the money, switch the record to Paid. Outstanding and overdue balances are totalled separately at the top of the Payments screen.
No money moves through Dersapp. You collect from your student however you normally do; here you only keep the record.
8. Reports
What you earned this month, what is outstanding, what is overdue.
- 1Monthly revenue report
The Reports screen shows the amount collected this month, the outstanding balance and the overdue balance. The figures come from the records you enter on the Payments screen — if you enter nothing, the report stays empty.
9. Notifications and calendar
Reminders go out automatically; you can connect your calendar to your phone.
- 1Automatic reminders
Dersapp sends automatic email reminders for upcoming lessons, homework approaching its due date, and outstanding payments. They also collect in the Notifications screen inside the app.
- 2Calendar subscription
From the Settings screen you generate a calendar link and add it to Google Calendar or Apple Calendar. Your lessons then appear automatically in the calendar on your phone.
This link works like a password: anyone who has it can see your lesson schedule. If you share it by accident, regenerate it in Settings to invalidate the old one.
- 3Storage usage
The Settings screen shows how much space your homework files are using.
10. Subscription
The free period is ongoing; a monthly subscription is needed afterwards.
- 1Free period
Everything is free until the announced date and no card details are requested. You can see the current date on the Subscription screen.
- 2What happens when it ends
When the free period ends, your workspace becomes read-only. Nothing is deleted: your students, lessons, homework and payment records stay exactly as they are and you can keep viewing them. Adding new records and making changes requires a subscription.
Your students become read-only at the same time; they cannot submit homework or book lessons.
- 3Subscribe
You start the subscription from the Subscription screen. Your card details are entered on the payment provider's own secure page and never reach Dersapp servers. The subscription renews automatically each month.
- 4Cancel
You can cancel any time from the same screen. When you cancel, you keep using it until the end of the period you paid for; when that period ends the workspace switches to read-only.
